WPI Conference – Terms and Conditions
WPI Conference, including the Strategic Workforce Planning (SWP) Conference, People Data & Analytics (PDA) Conference and Talent Intelligence (TLC) Conference, is organised by The Workforce Planning Institute Pty Ltd (WPI).
These Terms and Conditions apply to registrations for and attendance at WPI Conference and its associated events, including Masterclasses and other activities where applicable.
Submission of a registration is regarded as a firm booking (subject to availability) and acceptance of these Terms and Conditions.
Payment
Payment of all fees must be made in full and in cleared funds within 30 days of the submission of your registration.
If you register less than 30 days prior to the first day of an event, payment must be made in full and in cleared funds prior to attending the event.
The Workforce Planning Institute Pty Ltd (the “Company”) reserves the right to cancel a registration at any time prior to the start of the event where payment has not been received by the relevant due date.
Where the Company does not exercise its right to cancel the registration prior to the event, delegates whose fees remain outstanding may be required to make payment before being admitted to the event.
In the event of cancellation by the customer, the cancellation charges set out in the Delegate Ticket Cancellation Policy below will apply.
Payment can be made using one of the following methods:
Bank transfer – please include your invoice number as the payment reference.
Credit or debit card – payment can be made online through the Company’s nominated payment provider.
Delegate substitutions may be made at any time without additional charge. If you wish to substitute a delegate, please contact WPI as early as possible so the registration can be updated.
VAT/GST
Value Added Tax (VAT), Goods and Services Tax (GST) or other applicable taxes will be added to invoices where required under the relevant local tax regulations.
Where VAT or GST is applicable, it will be calculated at the applicable rate at the time of invoicing. If the applicable tax rate changes as a result of legislation or regulatory requirements, charges may be adjusted accordingly.
A tax invoice or receipt will be provided with applicable registrations.
The Workforce Planning Institute is VAT registered in the United Kingdom and GST registered in Australia.
Delegate Ticket Cancellation Policy
Unless otherwise stated on the relevant event website or at the time of booking, the following cancellation terms apply:
Where written cancellation is received by the Company at least 30 days prior to the first day of the event, a full refund will be issued.
Where written cancellation is received between 14 and 30 days prior to the first day of the event, a refund will be issued less a 25% administration charge.
Where written cancellation is received less than 14 days prior to the first day of the event, no refund will be issued. A credit for the amount paid may instead be applied to a future WPI booking, less a 25% administration charge.
If you do not notify us that you will not be attending and do not attend the event, you will be treated as a no-show and no refund or credit will be provided.
Where payment was made by credit or debit card, any card processing or payment gateway fees incurred by the Company that cannot be recovered from the payment provider may be deducted from any refund.
Delegate substitutions may be made at any time without charge.
Conference Access
Unless otherwise stated when purchasing your ticket, a WPI Conference delegate ticket provides access to the Strategic Workforce Planning (SWP) Conference, People Data & Analytics (PDA) Conference and Talent Intelligence (TLC) Conference during the applicable conference dates.
Delegates may move between the three conferences and attend sessions across the programmes, subject to room capacity and any specific access restrictions stated for individual sessions.
Masterclasses, private meetings, invitation-only activities or separately ticketed events are not included in a standard conference ticket unless expressly stated as part of the ticket purchased.
Event Cancellation
The Company reserves the right to cancel an event where reasonably necessary.
If the Company cancels an event and does not provide an appropriate alternative or rescheduled event, registration fees paid to the Company for the cancelled event will be refunded via the original payment method where practicable.
The refund of registration fees will be the extent of the Company’s liability in relation to the cancellation, subject to any rights that cannot legally be excluded.
The Company is not responsible for costs incurred independently by delegates in connection with attending the event, including flights, accommodation, visas, ground transportation or other travel expenses.
Where an event is cancelled, WPI will use reasonable endeavours to notify registered attendees using the contact information provided at registration.
Programme, Speaker and Venue Changes
Conference programmes are developed in advance and may be subject to change.
The Company reserves the right to make reasonable changes to the programme, agenda, speakers, session timings, conference streams, event format, date and/or venue where necessary.
The advertised programme, speakers and session locations do not form a guarantee that a particular speaker, session or activity will take place at a specific time or location.
Where significant changes are required, WPI will endeavour to communicate these to registered delegates as soon as reasonably practicable.
Accommodation and Travel
Delegates are responsible for arranging and paying for their own accommodation, travel, visas and transportation unless expressly stated otherwise as part of their booking.
Any hotels, accommodation providers, travel options or third-party services listed on the WPI Conference website are provided for convenience only.
WPI does not manage, arrange or receive commission from accommodation options listed on the website. Prices, availability, booking terms and cancellation policies are determined by the individual accommodation provider and may change at any time.
All accommodation bookings are made directly between the delegate and the relevant provider. WPI accepts no responsibility for accommodation availability, pricing, cancellations, changes or disputes between delegates and accommodation providers, subject to any liability that cannot legally be excluded.
Liability
Delegates are required to comply with the rules, policies and reasonable instructions of the applicable event venue.
Delegates are responsible for their own personal belongings and property brought to the event. Any property brought onto or left at the venue is done so at the delegate’s own risk.
Subject to any rights or remedies that cannot legally be excluded, the Company will only be liable for proven direct losses arising from the negligent acts or omissions of the Company.
To the extent permitted by law, the Company’s total liability in connection with a delegate’s attendance at an event will not exceed the amount paid by that delegate to the Company for the relevant event.
The Company will not be liable for indirect, incidental or consequential loss, including loss arising from travel, accommodation or other arrangements made independently by a delegate.
Nothing in these Terms and Conditions excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence where applicable.
Behaviour and Event Conduct
WPI is committed to providing a professional, respectful and safe environment for delegates, speakers, sponsors, exhibitors, staff and other attendees.
WPI reserves the right to refuse admission or require an individual to leave an event where their behaviour is considered disruptive, abusive, threatening, discriminatory, unsafe or otherwise inappropriate.
Where a delegate is removed from an event because of their conduct, the Company is not obliged to provide a refund.
Non-Discrimination Policy
The Company is committed to equality of opportunity and fair treatment.
We do not tolerate discrimination or harassment based on characteristics including gender, age, marital status, sexual orientation, race or ethnic origin, religion, culture or disability.
Data Protection
Personal information provided as part of your registration or participation in WPI Conference will be collected, processed and stored in accordance with the WPI Conference Privacy Policy and applicable privacy and data protection legislation.
Information may be used to administer your registration, communicate important event information, provide access to event services and platforms, improve WPI events and services, and send relevant communications where permitted.
WPI may use trusted third-party providers to support registration, event technology, communications, payment processing and event delivery.
Information may also be shared with sponsors and partners where permitted and in accordance with the WPI Conference Privacy Policy.
Photography and Filming
Photography, video and audio recording may take place throughout WPI Conference.
By attending the event, you acknowledge that you may appear incidentally in photographs, video footage or recordings captured in public event areas. These materials may be used by WPI for legitimate event reporting, communications and promotional purposes.
If you have specific concerns regarding photography or filming, please contact the WPI team before the event or speak with a member of the team onsite.
Event App and Networking
WPI Conference may provide delegates with access to an event app or digital networking platform.
Information displayed within the app, including your name, job title, organisation or profile information, may be visible to other registered event participants depending on the functionality of the platform and your selected privacy settings.
Delegates are responsible for their own interactions and communications with other attendees through the platform.
Third-Party Exhibitors, Sponsors and Suppliers
WPI Conference includes independent sponsors, exhibitors, speakers, suppliers and other third-party organisations.
WPI is not responsible for representations, products, services, advice or commitments made independently by these third parties.
Any commercial relationship entered into between a delegate and an exhibitor, sponsor or other third party is between those parties.
Force Majeure
The Company will not be liable for failure or delay in delivering an event where this results from circumstances outside its reasonable control.
Such circumstances may include severe weather, natural disasters, acts of government, public health emergencies, industrial action, transport disruption, venue closure, civil disturbance, terrorism, war, failure of essential services or other events beyond the reasonable control of WPI.
Where reasonably possible, WPI may reschedule, relocate or alter the format of an affected event.
Governing Law
These Terms and Conditions are governed by the laws of Victoria, Australia, subject to any mandatory consumer or other statutory rights that may apply in the jurisdiction in which the event takes place or the customer is located.
